Studio Policies

Booking, Cancellations, Payments & Client Guidelines

WELL ERA is a private, appointment-only medical spa. When you reserve an appointment, a provider, treatment room, equipment, and dedicated appointment time are reserved specifically for you.

These Studio Policies are designed to protect reserved appointment time, maintain fairness to our clients and team, and provide a safe, private, and professional environment.

By booking an appointment, purchasing a service, package, program, membership, or promotional offer, or otherwise accepting these policies electronically, you acknowledge and agree to the policies below.

These Studio Policies should be read together with WELL ERA's Terms & Conditions and Privacy Policy, as well as any treatment-specific consent, package agreement, membership agreement, payment authorization, or financing agreement applicable to your services.

1. Booking & Appointment Confirmation

A valid credit or debit card may be required to reserve an appointment.

An appointment is considered confirmed once confirmation is provided through our booking system or directly by an authorized WELL ERA team member.

Policy acceptance may be captured electronically during booking, intake, checkout, or check-in and maintained as part of our business records.

WELL ERA may require a deposit for certain appointments, treatments, promotions, high-demand dates, extended appointments, or clients with previous late cancellations or no-shows.

The payment method used for a client account should belong to the client receiving services unless an authorized third-party payment arrangement has been approved.

WELL ERA may request valid photo identification when reasonably necessary for identity verification, promotional eligibility, financing, payment authorization, high-value transactions, or fraud prevention.

2. Cancellations, Rescheduling & No-Shows

Because WELL ERA reserves a provider, room, equipment, and appointment time specifically for each client, we maintain a 24-hour cancellation policy.

Standard Appointments

24 hours or more before the appointment:
You may cancel or reschedule without a cancellation fee.

Less than 24 hours before the appointment:
A late cancellation fee equal to 100% of the scheduled service price may be charged to the payment method on file.

Same-day cancellation:
A cancellation fee equal to 100% of the scheduled service price may be charged.

No-show:
A no-show fee equal to 100% of the scheduled service price may be charged.

These charges are reserved-time fees associated with appointment time and resources held specifically for the client and are not represented as payment for an unperformed treatment.

Same-Day Rescheduling

A request to move an appointment to another date or time on the same day as the scheduled appointment is considered a same-day cancellation for purposes of this policy.

Applicable cancellation fees may therefore apply.

3. Late Arrivals

Please arrive on time for your scheduled appointment.

If you arrive 10 minutes or more after your scheduled start time, WELL ERA may shorten, modify, or cancel the appointment depending on the treatment and what can safely and appropriately be completed within the remaining reserved time.

A shortened appointment does not necessarily reduce the scheduled service price.

If the appointment cannot reasonably or safely be performed because of the client's late arrival, the applicable late cancellation or reserved-time fee may apply.

We will never rush a medical or aesthetic treatment in a manner that a provider considers unsafe or professionally inappropriate.

4. Promotional Offers & Vouchers

Promotional appointments, introductory offers, special releases, and third-party vouchers are offered subject to specific availability and eligibility requirements.

Unless the applicable offer states otherwise:

  • One promotional offer may be redeemed per client.
  • Promotions may not be combined with other discounts or offers.
  • Promotional links intended for a particular recipient or campaign may not be duplicated, publicly reposted, resold, or improperly distributed.
  • Promotional pricing applies only to the service, treatment area, protocol, and eligibility requirements stated in the offer.
  • Promotions cannot automatically be exchanged for a different treatment, treatment area, service, or cash value.
  • WELL ERA may verify identity and promotional eligibility before providing the promotional service.

Facebook, Instagram & Online Promotional Requests

Submitting an appointment request through Facebook, Instagram, an advertisement, lead form, or similar platform does not automatically create a confirmed appointment.

Promotional requests remain pending until confirmed by WELL ERA through our booking system, telephone, text message, or another authorized communication.

This verification process helps us prevent fraudulent, duplicate, or automated submissions.

Third-Party Vouchers

Clients using an applicable third-party voucher may be required to present valid photo identification at check-in.

Where a voucher is issued to a specific named individual and is not transferable under the applicable offer terms, the voucher information must match the person redeeming it.

Invalid, duplicated, altered, fraudulent, expired, or improperly transferred vouchers may be refused.

5. Promotional Appointment Changes

Promotional appointments have more limited scheduling flexibility because promotional pricing is made available for designated appointment inventory.

Unless the specific promotion states otherwise:

24 hours or more notice:
One reschedule is permitted without penalty.

Additional rescheduling requests:
Promotional eligibility may be forfeited.

Less than 24 hours notice:
The promotional appointment may be forfeited and a late cancellation fee equal to the scheduled promotional appointment price may apply.

Same-day cancellation or same-day rescheduling:
The promotional appointment may be forfeited and the applicable reserved-time fee may be charged.

No-show:
The promotional appointment is forfeited and the applicable no-show fee may be charged.

If a promotional appointment is forfeited, a client may be required to purchase a new qualifying offer or book at the current standard rate before reserving another appointment.

WELL ERA may also require a deposit for future promotional appointments after a late cancellation or no-show.

6. Deposits

WELL ERA may require a deposit to reserve certain appointments.

Unless otherwise stated in writing, a deposit is applied toward the applicable service when the client attends the appointment as scheduled.

Deposits may be forfeited when a client:

  • Cancels within the applicable cancellation window
  • Reschedules within the applicable cancellation window
  • Does not attend the appointment
  • Arrives too late for the treatment to be performed safely or reasonably

If WELL ERA cancels an appointment and cannot reasonably offer an alternative, any unused appointment deposit attributable to that appointment will be handled according to the applicable agreement and law.

7. Medical Eligibility & Contraindications

WELL ERA is a medical spa offering both non-medical cosmetic services and medical aesthetic services under applicable medical oversight.

Client safety and clinical judgment take priority over appointment, promotional, package, or scheduling considerations.

Clients must provide complete and accurate information regarding relevant:

  • Medical conditions
  • Medications
  • Allergies and sensitivities
  • Pregnancy or possible pregnancy
  • Pacemakers or implanted electronic devices
  • Recent surgery or medical procedures
  • Previous aesthetic procedures
  • Skin conditions
  • Treatment complications
  • Other information requested during medical screening or intake

Clients are responsible for updating WELL ERA if relevant information changes before a future appointment.

A provider or authorized medical professional may modify, postpone, decline, or discontinue a treatment if a contraindication or safety concern is identified.

If treatment cannot proceed because the client failed to disclose a known medical condition, medication, recent procedure, contraindication, or other material information requested during booking or intake, applicable reserved-time fees may apply.

If a newly identified medical or safety issue prevents treatment despite the client providing complete and accurate information in good faith, WELL ERA will prioritize client safety and will not charge the client for a medical treatment that was not performed. Any existing package, membership, financing, or payment obligations remain subject to the applicable separate agreement.

8. Treatment Plans & Results

Individual responses to aesthetic and medical aesthetic treatments vary.

WELL ERA does not guarantee a particular result, percentage of improvement, treatment timeline, number of sessions required, or before-and-after change.

Some services are designed as a series and results may develop gradually or require maintenance.

A service is considered performed when the scheduled treatment has been properly completed. A subtle result, delayed biological response, or result different from a client's personal expectation does not by itself mean that the service was not provided.

Before-and-after photographs, testimonials, advertisements, and results experienced by other clients are illustrative and do not guarantee an individual outcome.

Treatment-specific information and informed consent are addressed separately when applicable.

9. Packages, Programs & Memberships

Packages, programs, treatment series, and memberships may be subject to separate written agreements.

Unless otherwise provided by applicable law or a specific written agreement:

  • Service sales are final once performed.
  • A package or treatment series that has begun is non-refundable.
  • Packages and treatment plans are for the purchasing client and are non-transferable unless WELL ERA approves otherwise in writing.
  • Unused treatment sessions do not automatically convert to cash.
  • Membership cancellation, renewal, billing, and expiration terms are governed by the applicable membership agreement.
  • Treatment recommendations may be modified when clinically appropriate, subject to the applicable treatment agreement and informed-consent requirements.

Nothing in this policy limits a cancellation, refund, or other right that applicable law requires WELL ERA to provide.

10. Retail Products

Unless otherwise required by law, retail skincare and cosmetic product sales are final because of hygiene, product-integrity, temperature-control, and active-ingredient considerations.

Opened or used products are not eligible for return or exchange merely because the client changes their preference or experiences an expected adjustment to an active skincare ingredient.

If you experience an unexpected reaction or concern, please contact WELL ERA promptly.

For product-related irritation or sensitivity, we recommend contacting us within 7 days so our team can review the situation and provide appropriate guidance or alternative recommendations when possible.

A reported sensitivity does not automatically establish that a product is defective or create an automatic entitlement to a refund.

Products that are actually defective, damaged, incorrectly supplied, or subject to applicable legal protections will be addressed appropriately.

11. Payments & Financing

Payment is due at the time required by the applicable booking, treatment, package, or purchase agreement.

WELL ERA accepts major credit and debit cards. Cash is not accepted.

Third-party financing may be available through participating financing providers.

Financing approval, terms, payment schedules, credit decisions, interest, underwriting, and account administration are determined by the applicable financing provider.

All required financing approvals, agreements, and signatures must be completed before services financed through that provider are rendered.

Financing may be used only for products or services permitted under the applicable financing program.

12. Billing Questions & Chargebacks

If you believe there is an error concerning a charge, please contact WELL ERA promptly so we have an opportunity to review the matter.

By providing a payment method and accepting these Studio Policies, you authorize WELL ERA and its authorized payment processor to process cancellation fees, no-show fees, deposits, and other charges specifically authorized by these policies or another applicable agreement.

If a payment dispute or chargeback is initiated, WELL ERA may provide relevant documentation to the applicable bank, card issuer, payment processor, financing provider, insurer, attorney, or other authorized party as legally permitted.

Documentation may include booking records, timestamps, policy acknowledgments, electronic signatures, appointment history, communications, invoices, receipts, signed agreements, intake documentation, and evidence concerning services provided.

Accounts with an active unresolved payment dispute, suspected fraud, or outstanding balance may be restricted from additional bookings to the extent permitted by law.

Submitting a chargeback does not by itself eliminate an otherwise valid contractual payment obligation.

13. Client Conduct & Studio Environment

WELL ERA is a private, appointment-only environment. Walk-ins are not accepted unless specifically accommodated by the studio.

We ask all clients to help maintain a calm, respectful, and professional environment.

Please silence mobile devices while inside treatment areas. Extended telephone calls should be taken outside whenever practical.

Children, pets, and additional guests should not accompany clients unless approved in advance or an accommodation is required by applicable law.

WELL ERA maintains zero tolerance for threatening, abusive, discriminatory, sexually inappropriate, harassing, aggressive, intimidating, fraudulent, or materially disruptive behavior.

WELL ERA may refuse, discontinue, or terminate service when conduct reasonably affects client safety, staff safety, privacy, professional standards, or studio operations.

Applicable charges or reserved-time fees may still apply where permitted under these policies and applicable law.

WELL ERA may refuse or postpone treatment when a client appears intoxicated, impaired, or otherwise unable to participate safely in the service or provide legally effective consent.

14. Service Animals

Service animals as defined by applicable law are welcome in areas where clients are ordinarily permitted.

A service animal must remain under the handler's control.

WELL ERA may require removal of a service animal only when permitted by applicable law, including when the animal is out of control and the handler does not take effective action to control it, the animal is not housebroken, or the animal's presence would fundamentally alter the nature of a particular service.

Animals whose sole purpose is emotional support, comfort, or companionship are not considered service animals under the Americans with Disabilities Act.

WELL ERA will consider reasonable accommodations as required by applicable law.

15. Privacy, Photography & Recording

WELL ERA is committed to maintaining the privacy of clients and staff.

Security cameras may be used in appropriate common areas such as entrances, hallways, reception, or other non-treatment areas for safety and security.

Treatment rooms are not routinely monitored or recorded by security cameras.

Clients and visitors may not photograph, video record, livestream, or otherwise record WELL ERA personnel, other clients, treatment procedures, proprietary protocols, or nonpublic areas of the studio without prior authorization from management, except where applicable law requires otherwise.

Telephone calls with WELL ERA or authorized booking and customer-service representatives may be monitored, documented, or recorded for quality assurance, training, customer service, security, dispute resolution, and documentation purposes where permitted by applicable law. Notice or consent will be provided when required by applicable law.

Personal information and treatment records are handled according to WELL ERA's Privacy Policy and any additional medical privacy requirements applicable to the information involved.

16. Communications

WELL ERA may contact clients through telephone, text message, email, booking-system notification, or other communication methods for legitimate service-related purposes, including:

  • Appointment confirmations
  • Scheduling
  • Appointment reminders
  • Customer service
  • Receipts
  • Account information
  • Treatment preparation
  • Aftercare
  • Follow-up
  • Policy-related communications

Promotional text and marketing communications are subject to the separate consent and opt-out terms described in WELL ERA's Terms & Conditions and Privacy Policy.

17. Treatment-Specific Provider Availability

Certain treatments require providers with specific professional qualifications, training, medical delegation, or experience.

Availability may therefore vary by treatment, treatment area, clinical requirements, provider qualifications, or schedule.

If the appropriately qualified provider is unavailable, WELL ERA may reschedule the appointment or recommend another appropriate appointment time or provider.

Treatment protocols, appointment length, and pricing may differ based on treatment area, anatomy being treated, treatment complexity, technology used, time required, and other legitimate clinical or operational factors.

Promotional pricing applies only to the specific treatment and eligibility conditions stated in the applicable offer.

18. Personal Belongings

Clients are responsible for safeguarding personal belongings while visiting WELL ERA.

Please keep valuable items with you and avoid bringing unnecessary valuables to appointments.

To the fullest extent permitted by law, WELL ERA is not responsible for personal property that is lost, misplaced, stolen, or damaged unless the loss results from responsibility that applicable law does not permit WELL ERA to exclude.

19. Emergencies & Extraordinary Circumstances

We understand that genuine emergencies and extraordinary circumstances can occur.

WELL ERA may review exceptional situations individually and may waive or modify a cancellation, deposit, or reserved-time fee at management's discretion where appropriate.

Any courtesy, exception, credit, waiver, or accommodation provided on one occasion does not modify these Studio Policies or create an obligation to provide the same exception in the future.

20. Relationship to Other Agreements

These Studio Policies supplement WELL ERA's Terms & Conditions, Privacy Policy, treatment-specific informed consent forms, package agreements, membership agreements, financing agreements, payment authorizations, medical documentation, and other applicable agreements.

If a specific signed agreement contains terms that differ from these general Studio Policies regarding that particular transaction, the specific agreement controls to the extent permitted by applicable law.

Clinical decisions and medical treatment requirements remain subject to applicable law and professional judgment regardless of these Studio Policies.

21. Policy Updates

WELL ERA may update these Studio Policies from time to time to reflect changes in operations, services, technology, regulations, or law.

The current version will be posted on our website with an updated Last Updated date.

Updates generally apply prospectively to bookings and purchases made after the updated policy becomes effective.

Previously executed package, membership, financing, or other specific agreements remain subject to the terms applicable to those agreements unless properly modified.

Acknowledgment

By booking an appointment, purchasing a service, package, program, membership, voucher, or promotional offer, or otherwise electronically accepting these Studio Policies, you acknowledge that you have had access to, read, understood, and agreed to the applicable WELL ERA Studio Policies.

Policy acceptance may be captured electronically during booking, purchase, intake, or check-in and maintained as part of WELL ERA's business and transaction records.
